Position Title: Senior Administrative Officer
Department: Administration / Operations Support
Reports To: Department Manager / Head of Administration

Purpose of the Role:

To oversee and coordinate the daily administrative operations of the department, ensuring smooth workflow, efficient support to management and staff, and adherence to organizational policies and standards.


Key Responsibilities:

  • Manage and supervise day-to-day administrative functions, including documentation, scheduling, and correspondence.

  • Coordinate communication between departments, management, and external stakeholders.

  • Prepare and maintain reports, records, and operational data to support decision-making.

  • Oversee office systems, supplies, maintenance, and vendor management.

  • Support HR or Training activities such as staff onboarding, attendance, and scheduling.

  • Ensure compliance with company policies, safety standards, and confidentiality requirements.

  • Assist in budget tracking, procurement, and expense control for administrative operations.

  • Identify and implement process improvements to increase efficiency and productivity.

  • Handle confidential information with discretion and professionalism.

  • Support management in planning meetings, projects, and audits.


Qualifications & Skills:

  • Bachelor’s degree in Business Administration or related field.

  • 4–8 years of administrative or operations experience (including supervisory level).

  • Strong organizational, coordination, and communication skills.

  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

  • Ability to multitask and work efficiently in a fast-paced environment.

  • Attention to detail and ability to maintain confidentiality.
